# Payroll dates

> When your monthly payroll is built, the day to approve it by, the day your money has to be in, and what happens when it is late.

Every month Omnivoo builds your payroll for you and gives it three dates: the day to approve it by, the day your money has to be in, and payday. This article explains each one, what you are emailed, and what happens when the money is late.

## The dates

| | Every deposit is in and payday is the 5th | Otherwise |
| - | - | - |
| **Draft built** | the 20th | the 15th |
| **Approve by** | the 24th | the 20th |
| **Your money is in by** | the 28th | the 24th |
| **Payday** | the 5th of the next month | the 5th, or the 1st if support moved you |

"Every deposit is in" means a security deposit is held for every employee on the payroll. A company with a deposit missing, or one paid on the 1st, gets the earlier dates because there is less cover if the money is late.

A date that falls on a Saturday or a Sunday moves to the Friday before. Payday itself follows the bank calendar. See [Payroll Settings](/payroll/payroll-settings).

Your next three months of dates are on **Pay** > **Settings**, and every draft shows its own four dates at the top of the run.

## The draft is built for you

On the build day we create the month's payroll as a draft from your employees' salaries and email everyone who can run payroll. Open it, check it, and approve it by the approve by day.

* Add a bonus, a reimbursement or a deduction from **Anything to add** on the draft. The draft is built again every time something changes, so it is always current.
* Approving builds it one last time. If anything was added since it was built, you see what changed and the new total before the invoice is made.
* Nothing is invoiced until you approve.

You can still start a payroll yourself before the build day. We do not build a second one.

## Your money is in by

Approving generates the invoice. The invoice keeps its usual due date under your payment terms, and the run shows a second date beside it: the day your money has to be in. That is the one that decides payday, because the money still has to be sent on to India.

The run lists the ways to pay from your country, each with the last day it can leave your bank and still arrive in time. A same-day method can leave on the day itself. A slower one has to leave earlier.

## What we email you

| When | What it says |
| - | - |
| The draft is built | The total, the approve by day, the money day and payday |
| The day before approve by | Approve it by tomorrow |
| The morning after approve by | It is not approved, and payday can move |
| The day before the money day | Your payment has to be in tomorrow |
| The morning after the money day | Your payment has not arrived |
| The last day the money can still make payday | Payday is at risk |
| The day after | Payday has moved, with the new day |
| The weekday before the last day wages can be paid | What happens the next day |

Approval emails go to everyone who can approve payroll. Payment emails go to everyone who manages billing. The account owner is copied once a date has been missed.

## When the money is late

Salaries are paid the day your money reaches India. If it arrives after the money day, payday moves to the day it can be paid, and you and your employees are told the new date.

Payday never moves past the 7th. Indian law requires a month's wages to be paid by the 7th of the next month, or the bank working day before it when the 7th is a Sunday or a bank holiday.

## The last day wages can be paid

If your money has not arrived by that day:

1. **We pay the salaries.** From your security deposit when one is held, which goes against your invoice. From our own money when there is none. Either way the invoice stays owed, less any deposit applied.
2. **The employment ends that day.** With no funding there is nothing to pay another month from, so we cannot keep your employees employed. Each of them is told by email, and by post.
3. **Final pay follows within two working days.** It covers their days in the month, leave not taken, pay in place of notice and any compensation the law gives them. Each person has a final pay run of their own, invoiced to you.
4. **Interest runs on what we paid for you.** 1.5% a month, from the day we paid until that amount comes back. It is added to the same invoice the day your payment arrives.

The run page shows all of it: what the deposit covered, what is still owed, each person's last day and final pay, and the interest.

To hire them again, pay what is owed and a new security deposit for each person, then hire them from **People**.

## Someone hired after the month was approved

A person who starts after their month's payroll was approved is not on that invoice. On the day they start we build a **first pay** run for the days they worked that month, and email you. It is an off-cycle run with dates of its own: the money has to be in 3 working days before payday. From the next month they are on your regular payroll.

## An adjustment after the month was invoiced

Once a month's payroll is invoiced, nothing more can go on it. When you add a one-time adjustment dated in that month, the form asks when it is paid:

* **With next month's payroll.** It is on the next draft we build, and on that month's invoice.
* **Sooner, in an off-cycle run.** You start an off-cycle run for it, with its own invoice. See [Off-Cycle Payroll](/payroll/off-cycle-payroll).

The last day to add something to a month is the day you approve its payroll.
