Employee Onboarding

After an employer hires you through Omnivoo, you will receive an onboarding invitation via email. This guide explains what to expect and what you need to provide.

The Onboarding Process

Onboarding typically takes 15-30 minutes. You will complete the following steps through Omnivoo's self-service portal.

Step 1: Create Your Account

  1. Click the onboarding link in your invitation email.
  2. Enter your email address and verify it using a 6-digit one-time passcode (OTP) sent to your inbox.
  3. Your Omnivoo account is created. You can also sign in with Google if your email matches your Google account.

Omnivoo uses passwordless authentication -- there are no passwords to set up or remember. Each time you log in, you either enter an OTP sent to your email or sign in with Google.

Step 2: Personal Information

Provide your basic details:

  • Full name (as per government ID)
  • Date of birth
  • Gender
  • Father's/Spouse's name (required for PF nomination)
  • Current address and permanent address
  • Emergency contact details

Step 3: Compliance Documents

Upload the following documents for employment compliance:

Keep scanned copies of these documents ready before starting onboarding. Accepted formats: PDF, JPG, PNG. Maximum file size: 5 MB per document.

Step 4: Bank Account Details

Enter your bank account details for salary disbursement:

  • Bank name
  • Account number
  • IFSC code
  • Account holder name (must match your employment name)

Omnivoo processes salaries through HDFC bank. Your salary will be credited directly to the account you provide, regardless of which bank you use.

Ensure your bank account name matches your name in Omnivoo exactly. Mismatches will delay salary processing.

Step 5: Tax Information

Configure your tax preferences:

  • Tax regime -- Choose between the Old Tax Regime (with deductions) or the New Tax Regime (lower rates, no deductions). See TDS & Income Tax for details.
  • PF details -- If you have an existing UAN (Universal Account Number), enter it so Omnivoo can link your PF account. If not, a new UAN will be created.
  • Investment declarations -- Declare your planned tax-saving investments under Section 80C, 80D, HRA exemption, etc. This reduces your monthly TDS deduction. See Investment Declarations.

You can update your investment declarations at any time during the financial year. It is best to declare early so your TDS is lower from month one.

Step 6: PF Nomination

Nominate family members for your Provident Fund account:

  • Nominee name and relationship
  • Share percentage (if multiple nominees)
  • Nominee address and date of birth

This is a statutory requirement under the Employees' Provident Fund Act 1952.

After Onboarding

Once you complete all steps:

  1. Omnivoo verifies your documents (1-2 business days).
  2. Your EPFO registration is initiated (UAN creation or transfer).
  3. ESI registration is processed (if your salary makes you eligible).
  4. Your employment officially begins on your start date.
  5. You gain access to your employee dashboard with employment details, leave balances, and payslip access.

For Employers: Tracking Onboarding

Employers can track each employee's onboarding progress from the dashboard:

  • Pending -- Invitation sent, employee has not started.
  • In Progress -- Employee has started but not completed all steps.
  • Under Review -- Documents submitted, Omnivoo is verifying.
  • Complete -- All verified, employee is ready to start.

You will receive an email notification when onboarding is complete.
