Employee Onboarding
After an employer hires you through Omnivoo, you receive an onboarding invitation by email. Onboarding is a short guided wizard that gets you ready for your first payroll cycle. This guide explains what to expect.
Before You Start
Onboarding takes about 10 minutes. Have these handy:
- Your PAN, and your UAN (Universal Account Number) if you already have one.
- Your bank account details.
- A few identity, address, and employment documents to upload.
Your progress is saved automatically, so you can pause and come back at any time. A progress bar at the top shows how far along you are, and a step list on the side lets you move between steps.
How You Sign In
Omnivoo uses passwordless sign-in. You enter your email, receive a 6-digit code, and verify it, or you sign in with Google. There are no passwords to set up. For the full walkthrough, see Logging In.
The Onboarding Steps
The wizard guides you through the following steps in order.
Step 1: Welcome
A short intro that lists what you will do: provide your statutory IDs, add bank details, upload documents, submit your investment declaration, and accept your offer letter. Click Get started.
Step 2: Statutory IDs
Provide your statutory identifiers:
- PAN (Permanent Account Number) -- used for tax (TDS) and Form 16.
- UAN (Universal Account Number) -- if you have one from a previous job, enter it so your Provident Fund can be linked. If not, one is created for you.
- ESI number -- if applicable.
Step 3: Bank Details
Enter the bank account where your salary will be deposited:
- Account holder name (should match your name on record)
- Account number
- IFSC code
- Bank name
Make sure your bank account name matches your name in Omnivoo. Mismatches can delay salary processing.
Step 4: Documents
Upload your documents. The page groups them into sections:

The Identity, Address, and Banking documents are required. Employment History documents are optional. As you upload, Omnivoo verifies each document and reads its details to help fill your forms. See Document Verification.
Step 5: Investment Declaration
Declare your planned tax-saving investments (for example, under Section 80C and 80D, and HRA exemption) and choose your tax regime (old or new). Declaring early lowers your monthly TDS from the start of the year. See Investment Declarations.
Step 6: Offer Letter
Review your offer letter and accept it by signing. You can type or draw your signature. Your acceptance is recorded with the date.
Step 7: Review and Submit
A summary shows everything you have provided: PAN, UAN, bank account, number of documents uploaded, your investment declaration, and your offer letter status. You can go back to any step to make changes. When everything looks right, click Submit & finish.
After Onboarding
Once you submit, Omnivoo takes you to your employee home, My Employment, where you can see your employment details and reach your payslips, documents, and more. Omnivoo continues your statutory registrations (such as PF, and ESI where applicable) in the background.
For Employers: Tracking Onboarding
Employers can track each new hire's onboarding progress from People > My Team. Each person shows a progress percentage that climbs as they complete the steps above, reaching 100% when onboarding is finished. See People.
