Adjustment Templates
Adjustment templates let you pre-configure common payroll adjustments so they can be created with a few clicks instead of filling in the full form each time. Templates are especially useful when you regularly apply the same type of adjustment to different employees.
What Are Templates?
A template is a saved configuration for an adjustment that includes:
- Category (Addition or Deduction)
- Type (e.g., Bonus, Reimbursement, Advance Repayment)
- Name (e.g., "Monthly Internet Allowance")
- Default Amount (can be overridden when creating an adjustment)
- Default Currency
- Notes (optional default notes)
Templates do not include the employee or effective date -- those are selected when you use the template to create an adjustment.
Creating a Template
- Navigate to Payroll > Settings > Adjustment Templates.
- Click + New Template.
- Fill in the template details:
| Field | Description | Required |
|---|---|---|
| Template Name | A descriptive name for the template | Yes |
| Category | Addition or Deduction | Yes |
| Type | The adjustment type (Bonus, Reimbursement, etc.) | Yes |
| Adjustment Name | The default name that appears on the adjustment and payslip | Yes |
| Default Amount | Pre-filled amount when using this template (can be changed per use) | No |
| Currency | Default currency for the adjustment | Yes |
| Notes | Default notes attached to adjustments created from this template | No |
- Click Save Template.
Name your templates descriptively so team members can quickly find the right one. For example, use "Q4 Performance Bonus -- Engineering" rather than just "Bonus."
Using a Template
When creating a new adjustment:
- Navigate to Payroll > Adjustments.
- Click + New Adjustment > Create from Template.
- Select the template from the list.
- The form pre-fills with the template's values.
- Select the Employee and Effective Date.
- Adjust the amount or other fields if needed for this specific case.
- Click Submit Adjustment.
You can also use templates from the payroll preview:
- During payroll review, click the Adjust button next to an employee.
- In the adjustment side panel, click Use Template.
- Select the template and confirm.
Managing Templates
Viewing All Templates
Navigate to Payroll > Settings > Adjustment Templates to see all templates in your workspace.
Each template shows:
- Template name and adjustment type.
- Default amount.
- Status (Active or Inactive).
- Number of times the template has been used.
Editing a Template
- Open the template from the list.
- Click Edit.
- Modify the fields you want to change.
- Click Save Changes.
Editing a template does not change adjustments that were previously created from it. Changes only affect new adjustments created from the template going forward.
Deactivating a Template
If a template is no longer needed but you want to keep a record of it:
- Open the template.
- Click Deactivate.
- The template moves to the Inactive tab and no longer appears as an option when creating adjustments.
To reactivate a deactivated template:
- Navigate to the Inactive tab.
- Open the template.
- Click Reactivate.
Deleting a Template
To permanently remove a template:
- Open the template.
- Click Delete.
- Confirm the deletion.
Deleting a template is permanent. Adjustments that were previously created from this template are not affected, but the template cannot be recovered. Consider deactivating instead of deleting if you might need the template again.
