Employee profile
Header
The header shows the employee’s name and status, then their job title, India EOR employee and the state they work in, then their email, start date and who they report to. When the employee is active, Edit employment sits on the right. The ⋯ menu next to it holds Terminate employment. Under the header, four numbers sum up the employee:
The profile has five tabs: Overview, Payroll, Time off, Documents and Compliance.
Overview
Needs your attention lists anything about this employee that is waiting on someone. It only shows when something is. You may see:- No bank account yet. The employee adds it from their account, and payroll can’t pay them until they do.
- Offer letter not signed yet, or offer letter with Omnivoo to countersign.
- Onboarding not finished, with how far along it is.
- Investment declaration not submitted. TDS is worked out without it until it is.
- A time off request waiting for you, with Approve and Decline right there.
- Employment - Employment type, start date, work week, notice period and probation, with the date probation ends or ended.
- Salary history - Every salary on record, newest first. See below.
- Monthly cost to you - The salary (converted to your invoice currency), any agreed amount in another currency, the Omnivoo fee and the total. A note shows the rate used and its date. Your invoice uses the rate on its own date. If a fee you agreed with Omnivoo starts later, a note under the Omnivoo fee shows the new fee and the date it starts.
- Bank account - The bank name with the last four digits of the account, and the IFSC code. The full account number is never shown.
- Reports to - See below.
Salary history
Each entry shows the monthly amount, the reason if one was given, and the date it applies from (“At hire” for the first one). A change recorded after it took effect has a Backdated badge and the date it was recorded. With no changes yet it reads “No salary changes yet.”Reports to
Lists each manager this person reports to, with a Manager badge for the main line and Also reports to for any other. Remove ends a line. It is dated closed, not deleted, so you can still see who their manager was last year. Add manager lets you pick someone and choose Manager or Also reports to. With nobody set it reads “Nobody yet.”Payroll
Payroll history has one row per month with the pay date, the net pay and a status. A month still being processed says “Pays” and its date. Once the money has gone out it says “Paid” and its date. Paid months with a payslip have a download icon. Open a row to see Gross, any Additions, each deduction, Total deductions and Net pay. When a month was paid in another currency, a line underneath gives the rate and the date it was taken. Under it, Monthly salary structure splits the salary into three columns:- Earnings, which add up to Gross.
- Deductions, which take Gross down to Take-home.
- You pay on top, for the employer’s PF, ESI and gratuity, which add up to Monthly CTC.
Time off
A card for each leave type shows how many days are left and how many have been used this year. Below that:- Waiting for you - Requests you haven’t answered, with Approve and Decline.
- Upcoming leave - Approved leave that hasn’t started yet.
- Earlier in the year - Leave already taken, with its status.
Documents
The files on record for the employee, each with its type (PAN card, Aadhaar, Offer letter and so on), the date it was uploaded and a Download link. You can also:- Request document - Ask the employee for a document. Enter the document type and an optional message. Requests show as Requested, Submitted or Cancelled, and a submitted file can be downloaded here.
- For a terminated employee, generate termination documents (such as a relieving letter and experience letter) and open the settlement.
Compliance
- Statutory IDs - PAN (only the last four characters show), UAN and ESI number. ESI shows Does not apply when the employee earns over ₹21,000 gross a month.
- Tax regime - The regime they chose and where their investment declaration is for this financial year.
- A readiness checklist covering bank details, tax regime, PF, ESI and KYC documents, with a progress bar that turns green when everything is done. ESI counts as done when it does not apply.
Editing employment
Click Edit employment in the header to change an active employee’s job title, monthly CTC, work hours per week or notice period. Changing the monthly CTC also asks for a reason and an effective date. Saving records a salary revision, emails the employee their compensation revision letter to sign, and moves the salary on the effective date, not straight away. Editing only the job title, hours or notice period emails the employee what changed and sends no letter. An Indian employee’s revised CTC has to clear the minimum wage for their state and the Code on Wages 50% basic-and-DA floor, the same checks the hire clears. Open the ⋯ menu in the header and choose Terminate employment. Enter a termination date (which must allow for the notice period) and a reason, choose whether to waive the notice period, then confirm. See Employee Offboarding & Settlement.Contractor profile
Opening a contractor from People first shows their contractor hub. The header shows their name and status, then their business name, Contractor and their country, then their email.- Current engagement - The engagement that is active now, with its billing, rate, payment terms and start date, and View engagement to open it.
- All engagements - Every engagement you have with this contractor, with its status, billing, rate and dates. Pick one to open it.
An engagement
The header shows the contractor’s name and the engagement status, then the engagement title, Contractor and their country, then their email, start date and who they report to. Edit terms sits on the right. The ⋯ menu holds Renew engagement, View agreement once it is signed by both of you, and Offboard contractor. Once an exit is scheduled it offers Cancel offboarding instead, and after they have left it offers Reinstate. See Offboarding a contractor. Four numbers sit under the header:
The engagement has three tabs:
- Overview - Needs your attention lists invoices waiting for your approval (with Review), failed payouts and why they failed, a work agreement waiting for your signature, and identity verification about to expire. Below it are the Engagement terms (with an Edit link), Getting paid (onboarding, identity, tax form and payout account) and Reports to. For a one-off engagement whose invoice has been paid, a prompt lets you mark the engagement complete.
- Payments - Invoices with their amount, status and a download icon, and Payouts with their status. A failed payout shows the reason it failed.
- Contract - Agreements, where you generate the work agreement, sign it when it’s your turn and view it once both of you have signed, and Term history, every change to the terms. See Managing a contractor engagement.
