When you want to keep an intern on, you convert them to a full-time employee. They sign a full-time offer letter, and from the date you pick they’re paid a salary instead of the stipend. To hire an intern in the first place, see Hiring an Intern.

Before You Can Convert

Convert to employee is on the intern’s page in People. The page says why when they can’t be converted yet:
  • Their internship agreement is not signed by them and Omnivoo yet. Both signatures have to be on the internship agreement first.
  • Their background verification is not clear. Omnivoo has to lift the hold first. See Background Verification.
  • They are already being made full-time. A conversion is already on its way.
  • Only an active intern can be converted.

Converting

The page is headed Make them a full-time employee, with the internship’s end date under it.

Salary

Enter the full-time salary the same way as for a new hire. It has to clear the statutory minimum wage. You can add bonuses, an incentive plan, health insurance and equipment here, as for any hire. A bonus can’t be paid before the full-time date.

What Happens Next

  1. Security deposit. Omnivoo invoices one month of cost to company, once, when they become full-time. Nothing was asked for during the internship. Pay it in Finance. The intern’s page says Security deposit of … not received yet until it arrives.
  2. Offer letter. Once the deposit arrives, the intern gets the full-time offer letter to sign, then Omnivoo countersigns it.
  3. Until the full-time date, they stay on the stipend. Their page shows Becomes a full-time … on ….
  4. From the full-time date, payroll pays their salary with PF, ESI, Professional Tax and TDS at slab rates, and health insurance starts if you added it.
Their signed internship agreement stays in their Documents, beside the full-time offer letter.

If You Don’t Keep Them On

You don’t have to convert. When the internship ends, the stipend carries on until you act, so end their employment from the menu on their page. See Employee Offboarding.
